1. Who we are

The controller responsible for the personal data described in this policy is Alka Power Holding BV, K.P. van der Mandelalaan 64, Rotterdam, Netherlands (KvK 56480881, VAT NL852146036B01).

We have not appointed a Data Protection Officer, as we are not required to do so. Data protection enquiries are handled by our management team at the address above.

2. The personal data we collect

We collect personal data that you choose to give us through the contact form on this website. Which fields you complete depends on the enquiry type you select.

On every enquiry we collect your name, organisation, email address and — where you provide them — your job title and telephone number.

If you select an energy consulting or EPC management enquiry, we also collect the technology or solution you are interested in, the project location, the site type, the estimated project stage and your description of the energy challenge.

If you select a project financing enquiry, we also collect the project type, country, capital requirement range, funding stage and your project summary.

If you select a general enquiry, we collect your message.

We do not ask for special categories of personal data, and we ask that you do not include confidential commercial documentation or sensitive personal information in a website enquiry. Confidential material is exchanged only under an appropriate confidentiality process, as described on our due diligence page.

If you accept analytics cookies, we also receive usage data about your visit. This is described in our cookie policy.

3. Why we use it, and our legal basis

We do not use your enquiry data for marketing, and we do not sell or rent personal data to anyone.

We do not use automated decision-making or profiling that produces legal or similarly significant effects for you.

4. Who we share it with

We share personal data only with service providers who process it on our behalf under a data processing agreement, and only to the extent needed to deliver the service.

We may also disclose personal data where we are required to do so by law, or to establish, exercise or defend legal claims.

5. International transfers

Some of our service providers are established outside the European Economic Area, or may process data outside it. Where personal data is transferred outside the EEA, we rely on an adequacy decision of the European Commission, or on the European Commission's Standard Contractual Clauses together with any additional safeguards required.

6. How long we keep it

• Enquiries that do not lead to an engagement: retained for up to 24 months from your last contact with us, then deleted.
• Enquiries that lead to an engagement or ongoing discussion: retained for the duration of the relationship and for as long afterwards as is necessary for our legal, accounting and regulatory obligations.
• Analytics data: retained by Google Analytics for a maximum of 14 months.
• Your cookie choice: stored in your browser until you clear it, as described in our cookie policy.

7. Your rights

Under the GDPR you have the following rights in relation to your personal data:

• Access — to obtain a copy of the personal data we hold about you.
• Rectification — to have inaccurate or incomplete data corrected.
• Erasure — to have your personal data deleted, where the conditions for that right apply.
• Restriction — to limit how we use your data in certain circumstances.
• Portability — to receive data you provided to us in a structured, commonly used, machine-readable format.
• Objection — to object to processing based on our legitimate interests, including on grounds relating to your particular situation.
• Withdrawal of consent — to withdraw consent to analytics cookies at any time, without affecting the lawfulness of processing before withdrawal.

9. Security

This website is served over an encrypted connection (HTTPS), and enquiry data is transmitted to our service providers over encrypted channels. We limit access to enquiry data to those within our organisation who need it in order to respond.

No method of transmission over the internet is completely secure. Please do not use the contact form to send confidential commercial, financial or technical documentation.

We may update this policy to reflect changes to this website or to our practices. The date at the top of this page shows when it was last revised. Material changes will be made clear on this page.
